The latest version of DocumentMall can implement document retention policies and incorporates a new document viewer with annotation features.Ricoh's DocumentMall is a cloud-based document management service that lets businesses upload, manage, and search documents of various sorts. Electronic files can be uploaded to the service through a browser-based interface, or, with some Ricoh model scanners, paper can be scanned directly into the service. The service provides "cabinets" to store files in by subject, department, or whatever; permissions, which can restrict cabinet access and/or the functions an employee can perform on a document; and version control with check-in and check-out features. Since the platform is provided as Software-as-a-Service, it doesn't require a large upfront investment in hardware or storage, just a subscription fee.
The new version, 9.3, adds retention policy services. Customers can set up automatic rules for retaining and destroying documents. Implementing such policies is often overlooked and can be a burden to manage in-house, so the ability to have it done automatically by the service would be a real boon to businesses with compliance requirements or that want to make sure they meet legal standards of discovery. The retention module will be available in late July.
DocumentMall has also replaced its legacy document viewer with the Adeptol Document Viewer. The Ajax-based module can handle more than 300 document formats, including faxes, spreadsheets and presentations in their native form, and graphics formats from .art to .yuv.
Subscriptions to DocumentMall start at $1,050 for up to five users and 15 GB of storage.
